1. Introduction

SimQTech LLC ("Company," "we," "us," or "our") operates the LogosLink platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. We are committed to protecting the privacy of churches, their staff, and their members.

2. Information We Collect

2.1 Information You Provide

  • Account Information: Name, email address, and password when you register
  • Church Information: Church name, denomination, and workspace settings
  • Sermon Content: Audio recordings, transcripts, notes, and related materials you upload
  • Member Data: Names, email addresses, phone numbers, and tags/groups of your church members that you import or enter
  • Payment Information: Billing details processed securely through Stripe (we do not store credit card numbers)
  • Communications: Messages sent through our broadcast features and contact forms

2.2 Automatically Collected Information

  • Usage Data: Pages visited, features used, and interactions with the platform
  • Device Information: Browser type, operating system, and screen resolution
  • Log Data: IP addresses, access times, and referring URLs
  • Cookies: Authentication tokens stored as secure httpOnly cookies for session management

3. How We Use Your Information

We use collected information to:

  • Provide, operate, and maintain the LogosLink platform
  • Process sermon content through AI to generate ministry assets
  • Process prayer requests submitted to your church's public Prayer Wall — including AI-based categorization (Health, Family, Salvation, Finances, Other) and urgent self-harm detection
  • Deliver email and SMS broadcasts on your behalf to your church members
  • Process payments and manage subscriptions
  • Send you service-related notifications and updates
  • Improve our platform, features, and user experience
  • Respond to support requests and inquiries
  • Detect and prevent fraud or security incidents

4. AI Processing

When you use our AI-powered features, your sermon content is sent to third-party AI providers (such as OpenAI) for processing. We want you to know:

  • Your content is used solely to generate the requested outputs and is not used to train AI models
  • AI providers process data according to their own privacy policies and data processing agreements
  • We transmit only the necessary sermon text, not your member personal data, to AI services
  • Generated content is stored in your church workspace and is accessible only to your authorized users

5. Prayer Requests & Prayer Wall

When a person submits a prayer request through a church's public Prayer Wall (/pray/your-church):

  • Submitters control their privacy. They choose whether to provide a name, email, or phone number; submit anonymously; and whether the request appears on the public wall or stays private to the pastoral team.
  • Anonymous submissions are stored without identifying information. We retain the IP address temporarily for spam-rate-limiting purposes only.
  • The text of each request is sent to our AI provider (Anthropic Claude) solely to auto-categorize the request and detect self-harm or crisis language. The AI provider does not retain or train on this data.
  • Urgent content detection: If AI detects potential self-harm or crisis content, an automated notice — including the request text and submitter contact info if provided — is sent to the church's administrators with a reference to the 988 Suicide & Crisis Lifeline.
  • Prayer requests are owned by the receiving church and stored in our database until the church deletes them. Submitters may request deletion of their own requests by contacting their church or LogosLink support.
  • Public Prayer Wall reactions (the "Praying" count) are stored anonymously by IP + day with no personal information attached.

6. Church Member Data

We recognize the sensitive nature of church member information. When you import or manage member data through LogosLink:

  • Your members' data belongs to your church. We act as a data processor on your behalf.
  • Member data is used only to facilitate features you initiate (broadcasts, Bible study tracking, etc.)
  • We do not sell, rent, or share member data with third parties for marketing purposes
  • Member contact information is shared with email (Resend) and SMS (Telnyx) providers only when you send broadcasts
  • You are responsible for obtaining proper consent from your members before importing their data and sending communications

7. SMS/Text Messaging Policy

LogosLink provides SMS broadcasting features to churches on the Impact plan, powered by Telnyx. This section describes how we handle phone numbers and text messaging.

6.1 Consent and Opt-In

  • Church members must explicitly opt in to receive SMS messages by completing the church's SMS opt-in form, which includes a consent checkbox and disclosure of message types, frequency, and data rates
  • Opt-in records are stored securely in our database with timestamps for compliance purposes
  • Churches are responsible for ensuring they have proper consent before sending SMS broadcasts to their members

6.2 How Phone Numbers Are Used

  • Phone numbers are collected solely to send church-related SMS messages (devotionals, announcements, study guides, newsletters, and event reminders)
  • We do not sell, rent, lease, or share phone numbers or SMS opt-in data with any third parties for marketing, advertising, or promotional purposes
  • Phone numbers are transmitted to our SMS provider (Telnyx) only at the moment a broadcast is sent, solely for the purpose of delivering that message
  • We do not use phone numbers for any purpose other than delivering church-initiated SMS broadcasts

6.3 Opt-Out and STOP

  • Recipients can reply STOP to any SMS message to immediately unsubscribe from future messages
  • Recipients can reply HELP for assistance information
  • Churches can also manually remove members from SMS broadcasts through the LogosLink directory
  • Message frequency varies based on each church's broadcasting schedule
  • Standard message and data rates may apply depending on the recipient's carrier and plan

6.4 SMS Data Retention

  • SMS opt-in consent records are retained for the duration of the church's active subscription
  • Broadcast delivery records (message status, timestamps) are retained for reporting purposes
  • Upon account termination, all phone numbers and SMS records are deleted within 30 days

8. Data Sharing and Disclosure

We may share your information with:

  • Service Providers: Third-party services that help us operate the platform (Stripe for payments, Resend for email, Telnyx for SMS, OpenAI for AI processing, MongoDB for data storage)
  • Legal Compliance: When required by law, subpoena, or government request
  • Safety: To protect the rights, safety, or property of our users or the public
  • Business Transfers: In connection with a merger, acquisition, or sale of assets, with notice to you

We never sell your personal data or your church members' data to advertisers or data brokers.

9. Data Security

We implement industry-standard security measures to protect your data:

  • All data transmitted over HTTPS with TLS encryption
  • Authentication tokens stored in secure httpOnly cookies (not accessible to JavaScript)
  • Passwords hashed using bcrypt with salt
  • Database access restricted through network-level controls
  • Regular security reviews and dependency updates

While we take reasonable measures to protect your data, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.

10. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Upon account termination:

  • Your data will be available for export for 30 days
  • After 30 days, we will delete your data from our active systems
  • Backup copies may persist for up to 90 days before automatic deletion
  • We may retain anonymized, aggregated data for analytics purposes

11. Children's Privacy (COPPA)

LogosLink is designed for use by church administrators and staff, not by children. We do not knowingly collect personal information from children under 13. If you import member data that includes information about minors, you are responsible for ensuring you have proper parental or guardian consent. If we learn that we have collected personal information from a child under 13 without parental consent, we will take steps to delete that information.

12. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate data
  • Deletion: Request deletion of your personal data
  • Data Portability: Receive your data in a structured, machine-readable format
  • Opt-Out: Unsubscribe from marketing communications at any time
  • Restriction: Request limitation of processing in certain circumstances

13. California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to request deletion, and the right to opt out of the sale of personal information. 14. International Users

LogosLink is operated from the United States. If you access the Service from outside the United States, your information may be transferred to and processed in the United States. By using the Service, you consent to such transfer. If you are located in the European Economic Area (EEA), we process your data on the basis of contractual necessity and legitimate interest.

15. Cookies and Tracking

We use essential cookies for authentication and session management. These are secure, httpOnly cookies that cannot be accessed by third-party scripts. We do not use advertising cookies or third-party tracking pixels. We may use basic analytics to understand platform usage patterns in aggregate.

16. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or a prominent notice on the platform at least 30 days before changes take effect. The "Last updated" date at the top reflects the most recent revision.
